Master’s thesis and diploma exam

Final-year students preparing their dissertations are required to comply with the provisions of the Jagiellonian University Regulations.

Master’s thesis  prepared under the guidance of the supervisor.

In order to ensure the quality of theses at the Institute of Economics, Finance and Management, the following has been developed:

Other details relating to writing the master’s thesis, such as formatting (type and size of font, footnotes, table of contents, lists of figures and tables, etc.) are determined by the supervisor.

Diploma exam dates in 2025/26 academic year

The student is obliged to submit the diploma dissertation only in the electronic version.

The student, after obtaining the approval of their supervisor, is required to send the thesis information to the Registrar’s Office by April 20 of the final academic year in the course of study.

  • name of the author of the work
  • supervisor and reviewer data (first names and surnames)

The completed thesis for final approval by the supervisor should be uploaded to the AP system at least two weeks before the planned date of defence, but no later than by the 15th of September of the final academic year of the study course.

Achieving the master’s thesis:

  • Log into the Jagiellonian University Archive (AP) website at https://www.ap.uj.edu.pl   (login and password as for USOS)
  • Complete the form containing detailed data on the thesis: subject, keywords and abstracts in Polish, English and, if need be, in the language of the thesis.
  • Approve the declaration of independent work and the originality of the thesis, stating that it does not contain information subject to protection under provisions on the protection of classified information.
  • Upload the thesis to the AP system in the form of an integrated PDF file (the file size should not exceed 20MB) along with any attachments that should be sent as one archive file (ZIP, RAR, 7Z). The size of each of the files sent should not exceed 200MB. If you need to enter a larger sized attachment, please contact the Jagiellonian University Archive.
  • Possible file changes can be made after the promoter has unlocked the possibility of re-entering the work into the AP system.
  • The thesis entered by the student into the AP system is automatically verified in the JSA system.

A student whose work has been approved by the supervisor and reviewed will be admitted to the diploma exam, i.e., it has the status of "5-thesis ready for defence" in the AP JU system

Before the defence, the student is obliged to:

  • check if they have all entries in the USOSweb system
  • settle all financial obligations towards the Jagiellonian University
  • close all accounts in the Jagiellonian University Libraries and laboratories
  • submit documents to the Registrar’s Office

Documents required

At least seven calendar days before the planned defence date, but not later than by 30 September, the student must submit the following to the Registrar’s Office:

According to the applicable models of graduation diplomas, from October 1, 2019 onwards, a Jagiellonian University graduate receives a diploma without a photograph.

  • Failure to submit the documents on time will result in non-admission to the diploma exam.

The graduate receives a diploma and supplement along with copies of these within 30 days of graduation.

The graduate receives the following:

  • Diploma and supplement together with two copies in Polish or – depending on the application submitted – a diploma and supplement as well as one copy thereof in Polish and one copy in English – free of charge.
  • Upon request – a copy of the diploma and/or a copy of the supplement in the English language – a fee of PLN 20 is payable for each copy.

Detailed information on the amount and rules of collecting fees for diplomas can be found in Circular Letter No. 4 of the Rector of the Jagiellonian University on December 30, 2020.

 

When does the diploma exam take place?

It takes place within one month after you meet the conditions for admission. The Dean may extend this deadline by another month if there are valid reasons. 

How is the diploma thesis graded?

The supervisor and the reviewer each award a grade using the review form adopted at the Institute of Economics, Finance and Management. The final grade for the diploma thesis is the arithmetic mean of these two grades. 

If the reviewer awards a failing grade, the Dean appoints an additional reviewer. 

What are the conditions for admission to the diploma examination?

To be admitted, you must: 

  • fulfil all requirements of your study programme, 

  • receive a passing grade for your diploma thesis, 

  • have your thesis verified in the Uniform Anti-Plagiarism System (Jednolity System Antyplagiatowy, JSA) 

  • submit the required documents to the administration office

What happens if I fail the diploma examination?

  • First examination date: if you get a failing grade or do not attend without a valid excuse, the Dean will schedule a second date (within three months at the latest). 

  • Second examination date: if you also fail, the Dean may in justified cases set a third date (one to two months after the second). 

  • Third examination date: if you fail again or do not attend, you will be removed from the student register.
