Onboarding FAQ

How is the academic year organised at the Jagiellonian University? When do classes begin? When does the examination session start?

You can find the detailed academic calendar at Academic schedule - International Students - Jagiellonian University. It includes information about examination session dates, holiday breaks, inter-semester breaks, and days free from classes. 

Remember two key dates: the academic year begins on 1 October, while all formal requirements (such as course completion assessments and examinations) must be completed by 30 September.

Where can I find my class schedule?

Up-to-date class schedules for BFM can be found on the website of the Institute of Economics, Finance and Management: https://econ.uj.edu.pl/bfm-info/semester-organization/study-shedule.  

They are published two weeks before the start of the semester. Keep in mind that in exceptional circumstances beyond the Institute’s control, your schedule may be subject to change, so it is advisable to check it regularly. You can also access your class schedule through the USOSweb system. 

Can classes be held online or in a hybrid format?

The format of classes is determined by the study programme and the syllabus of each course.  As a rule, all classes at the Institute of Economics, Finance and Management are held on-site. In exceptional circumstances, the Dean – after consulting with the Institute’s management – may decide to temporarily move teaching and learning online. However, such cases are rare. 

Face-to-face classes are held in the Faculty of Management and Social Communication building at ul. prof. Łojasiewicza 4 in Kraków. 

How can I contact my lecturer?

Contact details for BFM, including the times and locations of office hours, can be found on the website of the Institute of Economics, Finance and Management: https://econ.uj.edu.pl/bfm-info/contact/academic-teachers 

You can attend office hours in person or contact your lecturer by e-mail. Keep in mind that the response to your question may not be immediate – academic staff aim to reply as promptly as possible, depending on their availability and workload. 

Where can I find information about course completion requirements?

All details regarding course content, assessment methods and literature can be found in the syllabus in the JU Syllabus application. They are also provided by the instructor during the first class.

How and when should I register for classes?

You do not need to self-register for compulsory courses at the Institute of Economics, Finance and Management – enrolment is handled by the administrative office. The exceptions are language courses and M.A. seminars. 

Registration takes place before the start of the semester through the USOSweb system. You will receive detailed instructions and information about deadlines for registration by e-mail prior to the enrolment period. 

Where can I find the list of courses available in my programme?

The list of courses available at the Institute of Economics, Finance and Management is published in the JU Syllabus application. To find the appropriate courses, select the education cycle in which you began your studies and then specify the level and mode of study. 

How can I change my class group?

If you want to switch class groups, the easiest way is to find a student from another group who is also willing to switch. Such a “person for person” swap is the simplest solution. Inform the administrative staff member responsible for your programme about the switch so they can update the USOS system accordingly. 

If you cannot find anyone to switch with, the change may be more difficult and will require the instructor’s approval. 

Who should I contact in case of problems related to class organisation?

Your first point of contact should be the administrative office staff member responsible for your programme. Contact details are available at https://econ.uj.edu.pl/studia/business-and-finance-management/studia-bfm-contact 

If the matter requires further attention, you can contact the Director for Teaching. Please note that different individuals hold this position depending on whether you are enrolled in a first-cycle (Bachelor’s) or second-cycle (Master’s) programme. The contact details of Directors for Teaching can be found at econ.uj.edu.pl/instytut/wladze. 

Issues concerning the entire group or year should be reported by the Year Representative. 

Can I use AI-based tools during my studies?

You are allowed to use AI-based tools during your studies. However, specific rules regarding the type and extent of their use – both during classes and when preparing written assignments – are determined by the instructor.

What is a student email address?

Your student email address is the official mailbox you will use for all communication with your lecturers and university administrative staff. It usually looks like this: firstname.lastname@student.uj.edu.pl and is hosted on Outlook.  

All official communication between you and the University takes place exclusively via this address, so it is important to check your inbox regularly. Your student account also gives you access to many of the University’s platforms and online services.   

How to activate the student email? 

Once you begin your studies, one of the first things you need to do is activate your personal email address. To get started, go to activation.uj.edu.pl. Your login is usually your PESEL number, and the password is the one you used for the online application system irk.uj.edu.pl. 

During the activation process, you will set up your official university email address, which is used to communicate with lecturers and administrative staff and also serves as a universal login for many of the University’s services and platforms.  

Full activation of your account and access to services such as Microsoft 365, MS Teams, Outlook and USOSweb may take up to 12 hours. 

What is USOSweb?

USOSweb (University Study-Oriented System) is a student management information system – the official online student record. You can find it at www.usosweb.uj.edu.pl, where you can submit applications online, check your grades and credits, and look up your schedule. 

What to do if I have trouble logging in to USOSweb or do not have my login details?

You receive your USOSweb login details when you are officially enrolled as a student. For Polish citizens, the login is usually your PESEL number, while for international students, it is your student record number. The initial password is the same as the one you used when registering through the online application system (IRK). To activate your university email account and other IT systems, start at activation.uj.edu.pl 

If your email is already active but you have forgotten your password, please contact the administrative office responsible for your programme.

Do I need to carry my student ID card?

Yes, it is a good idea to always have your student ID with you, either in its traditional card form or as a digital version in the mObywatel application. You will need it not just for discounts, but also to confirm your identity before exams and in many other university situations. 

What is the deadline for completing the year?

At the Jagiellonian University, the academic year must be completed no later than the end of the academic year, which is 30 September. 

How many ECTS credits do I need to complete the year?

To complete an academic year, students are normally required to obtain at least 60 ECTS credits. However keep in mind that your programme may set a different number of credits or extra conditions you will also need to meet. 

What if I earn fewer than 60 ECTS credits in a year? What is a conditional enrolment?

If you finish the year with fewer than 60 but at least 50 ECTS credits, you can, with the Dean’s permission, continue to the next year under what is called a conditional enrolment. This means that you are permitted to continue your studies, but in the following year you must make up the missing credits and fulfil all additional requirements specified in your study programme. Keep in mind that there are fees for retaking courses. 

If you have earned at least 50 ECTS credits, you can apply for conditional enrolment online through the USOSweb system.  

What if I fail a course that was the basis of my conditional enrolment?

If you do not pass the course that served as the basis for your conditional enrolment, you cannot be granted another conditional enrolment for the same course. Each course can only be used once as the basis for conditional enrolment during your studies. In such a situation, you still have the option to repeat the year. 

When can I repeat an academic year?

You may repeat a year if you have not earned the required number of ECTS credits, for example, the minimum of 50 needed to qualify for conditional enrolment, or if you are in your final year of studies. In this case, you only need to retake the courses you failed, unless you are also required to make up programme differences. Keep in mind that there are fees for retaking courses. 

To repeat the year, submit your application through the USOSweb system. 

Can I repeat an academic year more than once?

As a rule, you can only repeat a year once during your degree cycle. In special cases, the Dean may grant permission for a second repetition, but the total number of repetitions cannot exceed two during the entire course of study. For example, if your application concerns the final year and relates to your seminar, it must include your supervisor’s opinion on the progress of your thesis. 

To repeat the year again, submit your application through the USOSweb system. 

Can I repeat the first year?

No, according to the study regulations you cannot repeat the first year. You may be allowed to continue with conditional enrolment if you have earned at least 50 ECTS credits. Additionally, once during the entire course of your studies, you have the right to apply for a third examination date. 

Can I retake a course within the same academic year?

No, you cannot retake a course during the same academic year before the deadline for completing the year. However, once during the entire course of your studies, you have the right to apply for a third examination date. This option is useful if you fail a course in both of the two regular examination sessions. 

To schedule a third examination date for a given course within the same academic year, submit your application through the USOSweb system. 

Can I transfer a course completed in another programme?

Yes, you can apply to have a course completed in another programme transferred, but you will need the Dean’s permission. This is only possible if the course was completed within the last five years. Both positive and negative grades may be transferred, as long as the learning outcomes are equivalent. 

To have your ECTS credits transferred and recognised, submit your application through the USOSweb system. The application should include: a transcript of records, the syllabus of the course you completed, and the consent of the instructor responsible for the course you want to have recognised through the transfer of the grade and credits. 

Are my ECTS credits from international exchange recognised?

Yes, as long as the courses were part of an approved agreement between the universities. Your credits will be accepted without rechecking the learning outcomes. 

Where can I find information about the examination session?

You can find the examination schedule and information about lecturers’ office hours during the session on the Institute of Economics, Finance and Management website: https://econ.uj.edu.pl/bfm-info/semester-organization/exam-session. 

Who sets the dates of examinations and course assessments?

Exam and assessment dates are set by the instructor or the course coordinator in consultation with the faculty authorities. Each examination must be scheduled both in the main session and in the resit session. The schedule is published at least one month before the first examination date.

How many examination attempts do I have?

You are entitled to two examination dates: one in the main examination session and one in the resit session. The detailed examination schedule is determined by the course instructor in consultation with the students and the Dean, and it must be announced at least one month before the start of the session. The examination session plan is published on the Institute of Economics, Finance and Management website.  

In particularly justified cases, the Dean may grant permission for a third examination date within the same academic year. This must happen before the official deadline for completing the year of study.

Can I take an examination without completing the classes?

No, before you can take the exam you need to pass all the required forms of classes included in the module, such as practical classes or laboratory sessions. The detailed rules for admission to the examination are always specified in the course syllabus.

Do I need to present an identity document at the examination?

Yes, during the examination you may be asked to present a document confirming your identity. This may be the electronic student ID (mLegitymacja) in the mObywatel application or your national identity card.

Do I have the right to a resit examination?

Yes, you are entitled to one resit examination in a given academic year. However, keep in mind that if you take the first examination on the last possible date, you lose the chance to use the resit.

Can I retake an exam to get a better grade if I already passed?

No, according to the study regulations, it is not possible to improve a positive grade from either an examination or a course assessment.

What happens if I do not attend the examination?

If you do not take the examination in the main session, you can only take in the resit session. The only exception is when you justify your absence with valid circumstances or obtain permission for an additional examination date.

Can I excuse my absence from an exam?

Yes, you can excuse your absence by submitting a justified request to the course coordinator within seven days of the exam date. 

Your absence can be excused if you were ill, as confirmed by a doctor’s note, participated in the work of university bodies, or represented the Jagiellonian University externally. In justified cases, an additional examination date may be scheduled. However, if this date is not used, it cannot be reinstated. 

To excuse an absence from an examination or assessment, submit your application through the USOSweb system.

Do I automatically fail if I miss an examination?

No, absence from an examination does not automatically result in a failing grade. In such cases, the student record is marked with NZAL (“not completed”).

When are examination results announced?

Examination results must be published in the USOSweb system within ten days of the examination date, but no later than the end of the academic year. For the winter session, results must be published at least three days before the start of the resit session.

Can I review my examination paper?

Yes, you have the right to review your examination paper within 14 days of the result publication date. If you failed, the review has to happen before the resit examination date.

Can I take a third examination attempt?

Yes, in justified cases, the Dean may grant permission for a third examination date - once during firstcycle (Bachelor’s) studies and once during secondcycle (Master’s) studies. You must submit the application early enough so that the examination can still be held in the same academic year. 

To schedule a third examination date for a given course within the same academic year, submit your application through the USOSweb system. 

After you receive permission, you must contact the course instructor to arrange the examination date. If the instructor requests it, you should provide them with the decision generated in the USOSweb system.

Does the third date also apply to the final course assessment?

Yes, the third date may be scheduled for the final assessment, as long as the course’s format and evaluation methods allow it. In the case of sequential courses, you need to apply for a third date within five days after your second attempt’s grade is announced.

When can I request an Examination Board exam?

You can apply for an examination before an Examination Board if there were irregularities during the exam or if it covered material beyond what was listed in the syllabus. The application must be submitted within 21 days of the publication of results, and for the summer resit session the deadline is 20 September. The decision to conduct an Examination Board exam is made by the Dean. An application may be submitted either by the student or by the Student Government.

What happens during an Examination Board exam?

The examination is conducted by a Board composed of a Chair and two members. At least one of the members must hold a doktor habilitowany degree (i.e., post-doctoral degree, e.g., D.Sc., D.Litt.). The examination may be attended by the Dean, the course instructor as an observer, and an additional observer you designate. A formal record of the examination proceedings is prepared. The result of the Examination Board exam may serve as the basis for completing the academic year, even if the examination takes place after the official deadline for course completion.

What is the difference between an Individual Study Programme (ISP) and an Individual Organisation of Studies (IOS)?

With an Individual Study Programme (IPS), you can modify the standard curriculum to reflect your academic interests. Additionally, you will be assigned an academic supervisor to guide you through your chosen study path.  

An Individual Organisation of Studies (IOS), on the other hand, provides flexibility in completing courses and attending classes. This option is particularly useful in cases such as illness, childcare responsibilities, studying multiple degree programmes simultaneously, or active involvement in student organisations.

Who can apply for an Individual Study Programme (IPS)?

Every student has the right to apply if they want to adjust the programme to their research plans or academic interests. Applications should normally be submitted before the start of the academic year, though in special cases it is possible to apply during the year.

How to apply for an Individual Study Programme (IPS)?

To apply for IPS, you need to submit an application to the Dean and include your proposed study plan for the upcoming academic year. The plan should be prepared in consultation with an academic teacher who agrees to act as your academic supervisor. If you do not indicate a supervisor yourself, the Dean will assign you one.  

To obtain permission for IPS, submit your application through the USOSweb system.

Who can be my supervisor in the Individual Study Programme (IPS)?

Your supervisor in IPS may be any academic teacher with at least a doctoral degree.

Who can apply for an Individual Organisation of Studies (IOS)?

Every student can apply if their life situation makes it hard to follow the regular study schedule. This applies in particular to: 

  • students with a disability or illness, 
  • students enrolled in more than one programme, 
  • parents with childcare responsibilities, 
  • exchange students, 
  • students active in the Student Government or other student organisations.

How to apply for an Individual Organisation of Studies (IOS)?

To apply for IOS, you must complete the following steps: 

  1. Fill in the form available at formularz-ips.wzks.uj.edu.pl. 

  1. Enter your details: first name, last name, e-mail address, and the reason for applying for IOS. 

  1. Select your field of study, the name of the instructor, and the course title.  

  1. Select the type of studies and the year. 

  1. Indicate the semester and the academic year. 

  1. Submit the form by clicking the “Submit application” button. 

  1. Download the forms sent electronically by your course instructors to your e-mail address. 

  1. Complete the application in the USOSweb system under the title “Application for Individual Organisation of Studies (IOS)”. 

  1. Attach the instructors’ PDF forms and the documents confirming your situation. 

  1. Submit the application through the USOSweb system for review. The decision will be available later in the system. 

In case of any problems or doubts, contact the administrative office staff member responsible for your programme.

What changes can I expect under the Individual Organisation of Studies (IOS)?

Under IOS, your study path can be flexibly adapted to your situation. This may involve changing the order of classes and examinations, modifying the form of course assessments, sitting some subjects externally, or rescheduling examination and assessment dates.

What kinds of leave can I take?

There are two types of leave: 

  1. A student leave of absence is available on request after completing the first year of studies and allows you to take a break from your studies for personal reasons. 

  1. A dean’s leave of absence can be granted in special situations, such as illness, disability, or childcare responsibilities. 

To declare your intent to take a student leave or request a dean’s leave, submit your application through the USOSweb system.

What is the duration of a leave of absence?

A leave of absence is granted on a semester basis. A student leave may last for a maximum of two semesters. A dean’s leave may be granted for up to four semesters during your studies (with the possibility of onetime additional leave if the overall limit is not exceeded).

Do pregnant students or student parents have the right to a leave of absence?

Yes, in these cases a dean’s leave is granted under study regulations and cannot be denied. A pregnant student may take leave until the day of delivery, and a student who is a parent may take leave for up to one year after the child’s birth. If your leave ends during a semester, it will automatically continue until the end of that semester.

Do I retain student rights (e.g., discounts) during a leave of absence?

Yes, whether you are on a student leave or a dean’s leave, you keep your student status and all the rights and privileges that come with it, including the right to discounts (in accordance with separate regulations).

When can I apply for leave?

You apply for a student leave before the start of the semester, once you have completed your first year of studies. 

You can apply for a dean’s leave immediately after the situation that justifies it arises. In special cases, you can apply for leave retroactively if the circumstances prevented you from attending classes and from submitting the application earlier. 

To declare your intent to take a student leave or request a dean’s leave, submit your application through the USOSweb system.

Can I attend classes while on leave?

Yes, you can take part in classes during your leave if you have the Dean’s permission and follow the conditions they specify. In the case of a healthrelated leave or a leave granted due to pregnancy, it is also necessary to present a medical certificate confirming that you are fit to attend classes and examinations.

What happens if I do not report my return after leave?

If you do not report your return before the beginning of classes in the semester following your leave, this may be considered as failure to resume studies and may result in removal from the student register. 

To resume studies after your student/dean’s leave, submit your application through the USOSweb system.

Can I transfer to another university?

Yes, you can transfer to another higher education institution. To do so, you must notify the Dean of your intention to transfer and fulfil all obligations arising from the study regulations and the curriculum of your programme. 

To transfer to another university, submit your declaration of intent through the USOSweb system.

How to contact the administrative office staff member responsible for my programme?

For BFM you can find information about the staff members of the Institute of Economics, Finance and Management who provide student services, along with their contact details at https://econ.uj.edu.pl/studia/business-and-finance-management/studia-bfm-contact 

If you have a question about your studies, you can contact the administrative office by email, via MS Teams chat, by telephone, or arrange a personal appointment. Be sure to book your visit ahead of time through the office’s online booking calendar. 

The offices are located on the second floor of the Faculty of Management and Social Communication building at ul. prof. Łojasiewicza 4, in the left wing.

Where can I find forms and applications related to my studies?

Most applications related to your studies at the Institute of Economics, Finance and Management should be submitted through the USOSweb system, under Students → Applications. Instructions can be found at usosownia.uj.edu.pl.  

Other forms that need to be signed (by hand or electronically, with a trusted or qualified signature) can be found at wzks.uj.edu.pl/studenci/podania-studenckie, under Application templates requiring a signature.

How long does it take to process an application submitted through USOSweb?

Applications submitted through the USOSweb system are normally reviewed within seven working days. At peak times, like the academic year closing process, the waiting period may be longer.

How do I obtain a student status certificate?

If you need a certificate of student status or a transcript of your studies, email the administrative office staff member responsible for your programme. In response, you will receive the certificate in electronic form, with a qualified electronic signature, which is valid for most official purposes. 

If you need the document in paper form, book a visit at the administrative office and collect the certificate in person. Before doing so, make sure that the electronic version is not sufficient for your case.

Who is the Year Representative and what are their duties?

The Year Representative is elected at the start of the semester from among the students in the year. Although the function is informal, it plays an important role in ensuring effective communication between students, the university administration, and academic staff.

Jak wybierany jest starosta roku?

The Year Representative is normally elected at the first organisational class. Candidates volunteer, and the selection is made by vote. After the election, the new Year Representative’s contact details should be passed on to the administrative office responsible for the programme.

What are the main duties of the Year Representative?

The Year Representative serves as a liaison between students, the university administration, and academic staff. They communicate information from the administrative office and lecturers, such as changes to the class schedule or course assessment dates. The Year Representative gathers students’ feedback about the studies and communicates with teaching staff and the administrative office on organisational matters, such as examination dates. They also coordinate group activities, like submitting joint requests or arranging meetings, and, if needed, represent students in meetings with institute or faculty authorities.

How and when to pay tuition fees?

Fees should be paid by bank transfer to the personal bank account number assigned to each student. Payment deadlines are published in the USOSweb system, under Payments. In case of any doubts, contact the administrative office staff member responsible for your programme.

Where can I find the bank account number for tuition and other fees?

The individual bank account number for payments can be found in the USOSweb system, under Payments. In case of any doubts, contact the administrative office staff member responsible for your programme.

What happens if I accidentally overpay my tuition fee?

If you make an overpayment to your individual account, the extra amount can be used for your next fees. You can also request a refund. In such a case, contact the administrative office staff member responsible for your programme to receive instructions on how to apply for a refund of the overpayment.

Can I apply for a deferral of the payment deadline?

Yes, in justified cases, you may submit an application for a deferral of the payment deadline. 

You can submit your application by registered post, in person at the administrative office or Registry Office, or electronically through eDoręczenia (eDelivery system) or ePUAP. You can find the application form at wzks.uj.edu.pl/studenci/podania-studenckie.

What should I do if I have difficulties paying on time?

If you realise you will not be able to pay by the deadline, submit an application right away to defer the payment or to pay in instalments. Failure to act may result in interest charges and a demand for payment, and in extreme cases, the initiation of debt collection proceedings, which will further increase your liability to the university.

What happens if I do not pay on time?

If you miss a payment deadline, you will first receive a payment demand. It may subsequently lead to removal from the student register. Statutory interest for late payment is charged on all overdue amounts.

Is repeating courses subject to a fee?

Yes, repeating a course requires an additional fee.

How much does it cost to repeat courses, and how are these fees charged?

Fees are charged separately for each course, and their amount depends on the number of class hours scheduled for that course. You can find the detailed regulations on fee amounts at bip.uj.edu.pl/studia/oplaty. In case of any doubts, contact the administrative office staff member responsible for your programme.

Does a conditional enrolment involve additional costs?

Yes, a conditional enrolment – specifically, the repetition of a course within it – is subject to a fee. The fee depends on the number of teaching hours scheduled for that course.

What is the fee for a traditional plastic student ID card?

The fee for a traditional plastic student ID card is PLN 22. The fee for issuing a duplicate is PLN 33.

What is the fee for graduation documents (diplomas and supplements)?

The fee depends on the selected package of documents. In standard cases, there is no charge. A fee is charged only if you order additional documents, for example two diplomas and supplements in a foreign language. In that case, the fee is PLN 20.  

We recommend the free package, which includes: the original diploma, two copies in Polish, and one copy in a foreign language, i.e., four documents altogether.

Where can I find information about the available forms of financial support for students?

You can find all information on the available forms of financial support at https://stypendia.uj.edu.pl/en_GB/. The University offers a social scholarship, the Rector’s scholarship for the best students, a special scholarship for students with disabilities, emergency aid grants, as well as other scholarship programmes.

How to apply for scholarships and emergency aid grants?

You can submit most scholarship and emergency aid applications through the USOSweb system. In some cases, you will also need to provide a paper version along with the required documents confirming your financial or emergency situation. You can find detailed information and instructions at https://stypendia.uj.edu.pl/en_GB/ .

How can I obtain a place in a student dormitory?

You can apply for a place in a Jagiellonian University Student Dormitory through the USOSweb system. The University provides dormitories in several locations across Kraków. You can find detailed information on the dormitories, admission rules, and accommodation conditions at https://akademiki.uj.edu.pl/en_GB/.

Can I request adaptations of examinations and classes to suit my needs?

Yes, if you need adjustments because of illness or disability, you can apply for what are called reasonable accommodations. The procedure begins at the JU Accessibility Centre, which supports students in obtaining appropriate forms of adaptation. You can find detailed information at https://cd.uj.edu.pl/en_GB/start-en.

I identify as nonbinary but have not yet officially changed my personal details. Can I request a change in the way I am addressed?

Yes, the Jagiellonian University offers support through the Department of Security, Safety and Equal Treatment – Safe JU. You can use your preferred details in some of the university online services (via the socalled “overlay”), adapt your student email address, and get support in contacts with academic teachers or administrative staff.

Where can I find mental health support?

As a student of the Jagiellonian University, you can access free psychological support through the Student Centre for Support and Adaptation (SOWA). Detailed information, including registration rules, is available at https://sowa.uj.edu.pl/en_GB/english . It is also recommended to read information available at bezpieczni.uj.edu.pl.

Does the University offer legal support for students?

Yes, as a student of the Jagiellonian University, you can access free legal support. Such assistance is provided by the JU Student-Run Legal Clinic, which offers advice to individuals who cannot afford professional legal services. The Student Legal Clinic also handles student disciplinary cases – its members may act as defenders in disciplinary proceedings. Is the Faculty building adapted for persons with disabilities and other specific needs?

Yes, the Faculty building is modern and adapted to the needs of persons with disabilities, including wheelchair users and persons with visual impairments. What should I do in a life or health-threatening situation?

  1. notify the nearest porter’s lodge (see the list of porter’s lodges and telephone numbers), 

  1. provide first aid (see the first aid instructions), 

  1. if necessary, use the first aid kit available at the porter’s lodge or the automated external defibrillator (AED) (see the list of AED locations on the JU campus).

When can the Dean remove me from the register?

The Dean can remove you from the register in several situations. This most often occurs when you fail to participate in compulsory classes, for example after exceeding the limit of unexcused absences, as well as in situations when you do not make academic progress, are unable to complete the year, or fail to complete the year within the required time. You can also be removed from the register if you do not pay tuition fees after receiving a written demand for payment. 

Other reasons include: failure to commence studies, meaning failure to take the matriculation oath, to declare courses, or to submit required documents; written resignation from studies; failure to submit a diploma thesis or to take the diploma examination within the required time; and  expulsion following disciplinary proceedings. 

These are only examples of situations that may lead to being removed from the register. This is why it is always advisable to observe the deadlines and obligations set out in the study regulations.

Can I appeal a decision to be removed from the register?

Yes, you can appeal such a decision. Within 14 days of receiving the decision, you have the right to submit an application for case review to the Rector. 

You can submit your application by registered post, in person at the administrative office or Registry Office, or electronically through eDoręczenia (eDelivery system) or ePUAP. You can find the application form at wzks.uj.edu.pl/studenci/podania-studenckie.

What does “failure to commence studies” mean?

“Failure to commence studies” refers to a situation in which you have not begun to fulfil the obligations arising from the study regulations and programme. This can happen, for instance, if you do not take the matriculation oath, fail to declare courses, or do not register the required ECTS credits as set out in the programme.

Can I be re-admitted after removal from the register?

Yes, after removal, you can once again take part in the admission process and enrol. Keep in mind that when you are re-entered in the student register, you cannot already be a participant of the same programme you are applying for. This means that you must submit your resignation from studies sufficiently in advance so that the removal decision is official before you can be entered in the student register again.
